Why Daftar Smart Mahal

The register, the cash book and the group chat — finally in one system

Most Mahals still run on paper registers, a treasurer's private ledger and a dozen WhatsApp groups. Details go missing, collections are hard to reconcile, and every handover to a new committee starts from scratch.

Daftar Smart Mahal keeps the household register, the accounts and the communication together. Roles decide who can see and do what, every change is logged, and the numbers on the dashboard are the same numbers the next committee will inherit.

Everything on record

Families, members, births, deaths, marriages, committees and certificates — one permanent, searchable register.

Accounts you can trust

Subscriptions, donations, masjid income and expenses, madrasa fees — each entry categorised, dated and attributable.

Transparent for families

Families log in to see their own dues and payment history, and can pay online when the committee enables it.

The platform

Five modules, one login

Turn on only what your Mahal needs today. Each module works on its own and shares the same families, roles and audit trail.

The core module. Every family is registered with a permanent number, grouped into clusters and wards, and filled in with member details. Subscriptions, payments, certificates and vital records all hang off this register.

  • Permanent family register with reg numbers
  • Clusters & wards for area-wise organisation
  • Monthly subscription dues, auto-generated
  • Family wallet with full credit/debit history
  • Marriage certificates as ready-to-print PDFs
  • Birth, death & marriage registers
Explore module

A dedicated account book for the masjid: staff and salaries, day-to-day income and expenses, and separate ledgers for each maintenance project — all categorised and reportable.

  • Staff directory with salaries
  • Categorised income & expense entries
  • Cash, bank, cheque or online — each recorded
  • Separate ledger per maintenance project
  • Income & expense reports on demand
Explore module

Manage madrasa students, classes and fees. Students are linked to their family in the register, so fees, dues and contact details are never entered twice.

  • Students linked to the family register
  • Class-wise default fees
  • Per-student overrides and exemptions
  • Clear list of outstanding fees
  • Admission numbers and status tracking
Explore module

A self-service login for family members. They see their own household, their dues and their payment history, download their certificates, and — when the committee allows it — pay online.

  • Secure login scoped to one household only
  • Live view of members, dues and receipts
  • Online payment with wallet and extra contribution
  • Certificates available to download
  • Online registration and password-reset requests
Explore module

Daftar Smart Mahal's mobile app puts the family portal on a phone — the same household, dues, payments and certificates, with push notifications and camera photo upload.

  • Native app for iOS and Android
  • Same records as the web portal
  • Push notifications for dues and announcements
  • Upload member photos straight from the camera
  • Automatic light and dark mode

Made for your role

Whichever seat you hold on the committee, there's less manual work

Daftar Smart Mahal is designed for busy volunteers aged 25–55 who run the Mahal alongside a job and a family. No training course required.

01

Secretary / President

You need the full picture and a clean handover.

A live directory of every family and committee, an activity log of who changed what, and reports you can present at the general body meeting.

02

Treasurer / Accounts committee

You need collections to reconcile to the paisa.

Monthly subscription dues generated automatically, payments matched to families and categories, wallet credit for overpayments, and income/expense reports at any time.

03

Madrasa administrator

You need fees tracked without chasing parents.

Students linked to their family, class-wise default fees, exemptions where needed, and a clear list of who still owes.

04

A registered family

You want to know exactly what you owe and what you've paid.

A private login and mobile app showing your members, your dues, your receipts and your certificates — any time.

Getting started

From paper registers to a live system in four steps

  1. 1

    Import your families

Bring the existing register in — households, members, clusters and wards — and give each family its permanent number.

  2. 2

    Set roles for the committee

Decide who can view, who can collect, who can approve and who can change settings. Every action from then on is logged.

  3. 3

Switch on the modules you need

Start with the family register and subscriptions. Add masjid accounts, madrasa fees and the family portal when you're ready.

  4. 4

    Invite families to the portal

Families log in on the web or the app to see their dues and history — and the routine questions to the committee drop away.

Trust & control

The committee stays in charge

Daftar Smart Mahal is built so that responsibility is shared but control is clear.

Role-based permissions

Fine-grained permissions decide exactly which records and actions each person can access. Self-service logins are locked to their own household.

Full activity log

Every create, update and delete is recorded with who did it and when, so a handover or an audit has a clear trail.

Approvals before income

Payments families submit themselves are held for a committee approver, so the accounts only ever reflect verified money.

Corrections, not deletions

Births, deaths and other vital records are archived when corrected, keeping the register's history intact.

Bilingual by design

The whole interface is available in English and Malayalam, so no committee member is left out.

Your data, exportable

Reports and certificates export as PDF, and the register is yours to take with you.

Questions

Common questions from committees

No. Most Mahals start with the family register and monthly subscriptions. Masjid accounts, madrasa fees, the family portal and the mobile app can be switched on later from settings, at no disruption.

Yes. The interface is designed for volunteers aged 25–55 who use a smartphone but aren't software users. Menus are plain-language, screens are uncluttered, and everything is available in Malayalam.

No. A family login is scoped strictly to its own household — its own members, dues, payments and certificates. Only authorised committee roles see the full register.

Existing households, members, clusters and wards are imported at setup so you begin with your real data, not an empty system. Past committees and archived records stay visible for reference.

Every payment a family submits through the portal or app waits for a committee approver. Until it's approved it doesn't appear as income, so the accounts always reflect verified money.

Yes. The website and portal are fully responsive, and there's a dedicated mobile app for iOS and Android with push notifications.
